- The Committee reserves the right of refusing any entry, cancelling or altering Classes and arrangements of the programme or postponing the show in the event of any unfavourable or unseen circumstances.
- The Committee will not be responsible for any accident arising from any cause connected with the Show, and it shall be a condition of entry that each competitor shall hold the Committee blameless and indemnify them against legal proceedings.
- Any Exhibitor lodging a protest must first deposit £25.00 with the Secretary which will be forfeited to the funds if the same is not sustained. All protests must be in writing and received within one hour of the class. The decision of the Committee shall be final.
- Rosettes will be awarded in the ring after each Class. Prize Money to be collected from the Secretary’s Pavilion at 2.00p.m.
- Judging at 9.00 a.m. sharp.
- No Class will be held with less than three entries and the Judge will withhold such prizes as he deems fit, if the quality of the entries is not satisfactory.
- Any person infringing these rules will be excluded from the Show.
- ALL ENTRY FEES PAID ON THE DAY OF THE SHOW WILL BE £8.00
- ALL ENTRIES, WITH FEES, TO BE IN THE HANDS OF THE ORGANISERS BY SATURDAY 29nd JULY 2023
- All Trophies to be returned to Ms Ruth Williams Show Secretary by Saturday 23th July 2023

Subject to the following conditions:
- No animal is eligible to take more than one medal in any year – the Show of the Royal Welsh Agricultural Society excepted.
- If not already registered in the Stud Book or entered in the Appendix application for the registration or entry of the winner of a medal must be duly lodged with the Secretary of the Welsh Pony and Cob Society within 14 days from the time of winning and names and numbers of the animals already registered in the Stud Book or entered in the Appendix, and full particulars in the case of animals not already registered or entered, must be printed in the Show Catalogue or the Medal will be withheld.
- The owner of a medal winner must be a member of the Welsh Pony and Cob Society who has paid their subscription for the current year, or has submitted their name for membership and paid one annual subscription within 14 days of the award.
- Every animal (except a Stallion, holding a current year’s licence under the Horse Breeding Act) to which the Society’s medal is awarded,shall either be examined by a Veterinary Surgeon and be passed by him as sound at the Show at which the medal is awarded – a certificate to this effect must be lodged with the Secretary to the Welsh Pony and Cob Society within 14 days after the date of the Show – or shall hold a Veterinary Surgeon’s certificate of soundness issued at some other Show during the year in which the medal is awarded.
- Prize money or medals will only be given by the Welsh Pony and Cob Society for Cobs and Ponies of the old Welsh Stamp, for Welsh Ponies and for Welsh Mountain Ponies.
VAYNOR AND DISTRICT AGRICULTURAL SOCIETY SAFETY POLICY STATEMENT
It is the VAYNOR AND DISTRICT AGRICULTURAL SOCIETY’S policy to ensure so far as is reasonably practicable that an environment is created and maintained at all times during the setting up and running of the Vaynor Show which is both safe and healthy for the benefit of all. The prevention of all accidents, particularly those involving personal injury or damage to equipment and property is recognised as being essential to the efficient running of the Show as well as to avoid hardship and suffering.
The VAYNOR AND DISTRICT AGRICULTURAL SOCIETY commits itself to the implementation of the Health and Safety at Work Act 1974 (plus any amendments as from time to time may occur), including the Management of Health and Safety at Work regulations 1992 and actively seeks the full and understanding co-operation of all for their commitment to the same.
The VAYNOR AND DISTRICT AGRICULTURAL SOCIETY, with the aid of all Exhibitors and Contractors, will assess the risks to the health and safety of all and of anyone else who may be affected by any activity carried on at the Vaynor Show. These assessments will enable any necessary preventative and protective measures to be taken to ensure a safe and healthy environment at the Show.
The VAYNOR AND DISTRICT AGRICULTURAL SOCIETY will provide adequate training and instruction as necessary for all stewards to ensure the safe running of all operations and events at the Show.
The VAYNOR AND DISTRICT AGRICULTURAL SOCIETY, will revise this Safety policy Document annually as required by the Health and Safety at Work Act 1974.
FIRE/EMERGENCY PROCEDURE
- In the event of fire evacuate the stand or area immediately.
- Report the fire to the Secretary’s tent where a telephone is available and the fire authority will be called.
- Keep all spectators well clear of the area.
ACCIDENT / FIRST AID
The PRIORITIES are:-
The Safe Treatment of the injured person.
Immediate actions to prevent a re-occurrence.
Reporting/Investigation.
- First aid is available at all First Aid Centres.
- Accident books are kept in the First Aid Centres which are clearly,marked around The site, and details of all accidents must be recorded as soon as possible.
- In the event of any accident the Society should be informed immediately. The Safety Officer will be responsible for investigating the accident and recommending the necessary action following any accident.
CATERING
All static/mobile caterers must ensure that they comply with all the relevant Food
Hygiene Regulations:-
The Food Hygiene (General) Regulations 1970.
The Food Hygiene (Markets, Stalls and Delivery Vehicles) Regulations 1966.
The Food Safety Act 1990.
The Food Labelling Regulations 1984.
The Health and Safety at Work Act 1974.
All caterers should realise that inspectors of Local Council Environmental Health Departments may make inspections prior to and during events, to ensure that ‘Food Operators’ understand and comply with the relevant legislation. All establishments selling Food and/or Drink must comply with the above Food Hygiene Regulations. Guidance on Health and Safety in Kitchens and Food Preparation Areas HS(G)55 is available from HMSO.

HARD HATS
Anyone riding a horse, pony or donkey must wear a hat to British Standard specification and of a standard approved by the governing body of their respective horse or pony Society, Association or discipline and under whose rules they are exhibiting or competing. This hat must be worn at all times.
SPRAY DIPPING OF SHEEP
The use of any substance containing toxic chemicals, including sheep dips to prepare sheep for showing, whilst on the showground is strictly forbidden.
DOGS
Except for participants in the Dog Show Events, all other exhibitor’s are not encouraged to bring dogs onto the showground.
All dogs not in Dog Show Events must be kept on a lead at all times. All competitors in the Dog Show Events must ensure that their animals are kept under strict control at all times.
FIRE PRECAUTIONS
Exhibitors bringing their own tentage must ensure that it has been treated with a suitable fire retardant and in the case of a large marquee, a plan showing all fire exits must be submitted for approval by the local Fire Authority. All trade stands must have fire extinguisher(s) sited in a prominent position and in full view. These appliances should be held at the following rate: 250 to 500 sq.ft. one; 500 to 1,000 sq.ft. two; for each additional 1,000 sq.ft. or part of, a further appliance is required. The most suitable extinguisher is a 5 kilo dry powder type, which in the case of most fires will contain the outbreak until the arrival of the fire brigade.
